💡Billing Integrity and Documentation Standards for Berry Street Providers
This section defines required billing and documentation standards to ensure ethical, compliant, and transparent patient care and insurance billing.
At Berry Street, accurate billing and documentation are not just administrative requirements—they’re foundational to maintaining trust with patients, insurers, and the integrity of our professional network. All providers are required to follow the standards outlined below and complete the Billing Compliance and Documentation Integrity module in Berry Street’s Provider Onboarding.
👉 This section covers:
⚠️ Billing Compliance and Documentation Standards
Billing compliance is non-negotiable. Every Berry Street provider is required to follow the billing and documentation standards outlined below. These rules are not optional—they are essential to maintaining our insurance partnerships, protecting your professional license, and upholding the integrity of the Berry Street network.
Any misuse of billing practices, whether intentional or accidental, can result in immediate deactivation from the platform, repayment, insurance clawbacks, and potential disciplinary action from state licensing boards or insurers.
❗ Why Compliance Matters
Improper billing is not just an administrative issue—it’s a serious compliance risk with far-reaching consequences for you, your patients, and the entire Berry Street network.
Non-compliance can:
Trigger insurance audits, repayment demands, and contract termination.
Jeopardize your professional license and Berry Street’s insurer relationships.
Damage the credibility of the nutrition profession and threaten future Medical Nutrition Therapy (MNT) coverage.
Undermine patient access to care and erode the trust we’ve built with payers and partners.
Berry Street enforces strict billing compliance standards. Misuse of billing practices—intentional or otherwise—may result in platform deactivation, repayment obligations, and additional corrective actions as required by insurers or licensing boards.
✅ Billable Services
Only real-time, direct patient interactions qualify as billable. These include:
In-person sessions
Phone consultations
Synchronous telehealth or video sessions
Key Principles:
Billable time must reflect a single, continuous interaction.
Do not combine minutes from separate sessions or days to create a longer billable event.
If a session is interrupted (e.g., technical difficulties), you may still bill for the total continuous time if the session resumes promptly.
Example: “Session began via Berry Street platform, completed via phone due to technical issue.”
Clearly document any interruptions or changes in modality within your note.
🚫 Non-Billable Activities
The following activities cannot be billed under any circumstances:
Reviewing food logs or other documentation outside of a live session
Messaging patients (sending or responding)
Communicating with caregivers, physicians, or other professionals
Any time not spent in a live, face-to-face interaction
Supporting Provider Success and Continuous Quality Improvement
Berry Street is dedicated to helping providers meet these expectations through:
Integrated documentation and time-tracking tools
AI-assisted charting to enhance accuracy and efficiency
A robust audit framework to improve clarity and reduce errors
Your adherence to these standards allows us to invest resources into enhancing tools, not correcting preventable billing issues—helping you deliver better care with less administrative friction.

If you’re unsure about billing rules or need assistance aligning with this policy, Berry Street offers multiple support options:

Our Shared Commitment
By following these standards, you’re upholding Berry Street’s shared commitment to ethical, transparent, and high-quality care. Your diligence in proper billing protects client access, supports network credibility, and sustains our collective mission.
This guide underscores the essential standards for credentialing and billing that Registered Dietitian Nutritionists, and all Nutrition Providers accepting insurance, must uphold to ensure ethical, evidence-based, and legally compliant practice.
